Free hospitality tools & calculators

The everyday sums that run a UK venue - gross profit, holiday, minimum wage, the real cost of a hire and whether an accident is reportable. Built on the same engines that run Zynthio, so the numbers match the ones our customers work to.

GP & menu calculator

Work out the gross profit on any dish, price to hit a target GP, or check your whole menu's blended margin. VAT handled properly.

Break-even calculator

How many covers a day does your venue need just to stand still? Itemised fixed costs, variable costs with a food and drink split, a break-even chart, a sensitivity table and sourced UK benchmarks.

Holiday entitlement calculator

Statutory holiday for full-time, part-time and irregular-hours staff. 5.6 weeks capped at 28 days, pro-rated for starters and leavers, in days and hours.

Salary & take-home pay calculator

What actually lands in the bank after income tax, employee NI, pension and student loan. 2026/27 and 2025/26, Scottish and rest-of-UK rates.

Minimum wage checker

Check any hourly rate against the National Minimum and Living Wage for both 2025/26 and 2026/27, by age band and apprentice rate.

True cost of an employee

Salary is not the cost. Add employer NI, auto-enrolment pension and 12.07% holiday accrual to see what a hire really costs you per year and per hour.

RIDDOR reportability checker

Is that accident RIDDOR reportable? Get the verdict, the regulation it falls under and the 10 or 15 day deadline before you miss it.

Allergen matrix generator

Paste your menu, get a dish-by-dish UK 14-allergen matrix. It asks about the recipes only your kitchen knows.

Why we give these away

Every one of these calculations already exists inside Zynthio, where it runs against your real rotas, staff and incidents instead of numbers you type in by hand. The free versions use the identical engines - the same wage tables, the same 12.07% accrual, the same RIDDOR decision ladder - so nothing changes when you move from the calculator to the product. If they save you an afternoon, that is a good enough reason on its own.

Common questions

Are these hospitality calculators really free?

Yes. The GP calculator, break-even calculator, salary and take-home pay calculator, holiday entitlement calculator and minimum wage checker are completely free with no signup at all. The true cost of an employee calculator and the RIDDOR checker show you the headline answer free, and ask for a name and email before revealing the full breakdown. The break-even calculator asks for an email only if you want the branded PDF report.

How do I work out how many covers I need to break even?

Use the break-even calculator. It takes your average spend per cover split between food and drink, your itemised monthly fixed costs including employer NI and pension on salaried staff, and your variable costs as percentages of net sales, then tells you the covers per day and per service you need, the revenue per month, your margin of safety and which single lever moves the number most. It handles VAT properly, which is where most break-even sums go wrong.

Do I need a Zynthio account to use them?

No. None of the tools require an account. Two of the six ask for an email address to reveal the detailed result, but you do not need to register for the product or enter any payment details.

Are the calculations up to date for 2026/27?

Yes. The wage, National Insurance, pension and holiday figures come from the same rate tables that run payroll inside the Zynthio HR module, and they cover both the 2025/26 and 2026/27 tax years.

Can I rely on these for legal compliance?

They are built on the current UK rules and are the same engines our paying customers use, but they are guidance rather than legal advice. The RIDDOR checker in particular is decision support: the duty to report sits with the responsible person at your business.

Is the generated allergen matrix legally compliant?

No. It is a draft you must verify, not a compliance document. It is generated from your menu text, so it cannot know your recipes, your suppliers or how a dish is actually made in your kitchen - which is why anything uncertain is marked CHECK rather than guessed at. Every cell must be verified against your recipe specifications before use, and under the Food Information Regulations 2014 the legal responsibility for allergen accuracy stays with you as the operator.
