Most HACCP plans are a document nobody has opened since it was written

A HACCP plan written in Word and printed into a folder is a plan that stops being true the week your menu changes. It sits apart from the kitchen it describes, so the critical control points in it are monitored — if they are monitored at all — on a separate temperature sheet that nobody ever reconciles against the plan. When an officer asks to see the monitoring records for a CCP, you are matching one piece of paper to another and hoping the dates line up.

A plan per site, or a master plan at organisation level to clone from. You record the HACCP team, the product description and the process flow, then run a hazard analysis against each step scored on the same 5 × 5 likelihood-by-severity matrix the risk assessment module uses — deliberately, so the two modules can never disagree about what "high" means. The decision tree then establishes whether a hazard is a critical control point, and the answers to all four questions are stored rather than discarded. When somebody asks why a step is not a CCP, the record shows the reasoning.

CCPs linked to the daily check that already monitors them

This is the part that gives your kitchen its time back. Each CCP carries its critical limits, its monitoring method and its responsible person — and it can be linked to a food safety task on a daily checklist. Complete that task and the reading is written into HACCP automatically as a monitoring observation. The mirroring is idempotent, so correcting a checklist entry updates the existing observation instead of adding a second one, and it runs in one direction only: a HACCP problem can never stop a member of staff submitting their checklist. You can still record an observation by hand against any CCP when you need to.

Breaches that raise themselves

Where a CCP has numeric limits and a reading falls outside them, three things happen at once and only once per observation: a corrective action is opened and linked to that reading, the breach is written to the plan's audit trail, and managers at that site plus your org admins are notified in the app and by email. The corrective action itself records what was done, the disposition of the product — safe, reworked, destroyed, or the process adjusted — the root cause and the prevention measures, and moves through open, completed and verified rather than simply being ticked away.

The only compliance register with a daily reminder job

At 08:00 every day Zynthio looks for corrective actions that have been open more than 24 hours and verifications due within seven days or already overdue, and tells the site managers; plans due for review within 30 days or overdue go to your org admins. We are straight with you about the gap: CCP monitoring frequency is free text and is not itself scheduled or enforced. What you get there is a My CCPs screen flagging whether each CCP has been observed today. If a CCP genuinely must be probed twice a shift, put it on a checklist and link it — then the checklist's own overdue alerting does the chasing.

Approval, version history and the EHO export

Approving a plan is manager level and up and sets it live with a review due in twelve months; archiving is org admin. Supporting documents hang off the plan, and the version history means you can show what the plan said at the time an incident happened rather than only what it says today. The EHO export produces the full plan as a PDF — team, product description, flow, hazard analysis, CCPs, monitoring records and corrective actions — covering the last 90 days unless you give it your own dates, and every export is logged. One thing we have not built: the process flow prints as a table, not as a visual diagram.

Does Zynthio build a full HACCP plan or just store one?

It builds one. The plan follows the Codex structure end to end: a HACCP team, a product description, a process flow, a hazard analysis scored on a 5x5 matrix, the decision tree that establishes whether a step is a critical control point, the CCPs with their critical limits, monitoring observations, corrective actions and verifications. You are filling in a structured plan, not uploading a Word document and hoping nobody opens it.

Do I have to record CCP monitoring twice, once on the checklist and once in HACCP?

No. A CCP can be linked to a food safety task on your daily checklist. When a member of staff completes that check, the reading is written into HACCP automatically as a monitoring observation. The same probe reading, keyed once. Correcting the checklist entry afterwards updates the HACCP observation rather than creating a second one, and a HACCP problem can never block a checklist being submitted.

What does chase itself is the daily 08:00 job: corrective actions open for more than 24 hours and verifications due or overdue go to site managers, and plans due for review within 30 days go to org admins.
