A hospitality KPI dashboard with four numbers worth reading
Clock-in accuracy, salary utilisation, reputation and labour budget, each as a dial with a per-site breakdown underneath, over seven, thirty or ninety days — included in every plan at no extra cost.
14-day free trial, no credit card. KPIs and anonymous staff surveys are in both plans at no extra cost.
Forty metrics nobody opens is not reporting
Most hospitality reporting fails in the same direction: it produces more than anyone can act on. A dashboard with forty tiles is a dashboard a general manager glances at once in induction week and never returns to, because nothing on it tells them what to do differently on Tuesday. Meanwhile the numbers that would change behaviour — is my team actually clocking themselves in, am I over my labour budget this week — are buried three clicks down or sitting in a spreadsheet somebody rebuilds every Monday.
Zynthio's KPI page is deliberately small and deliberately fixed: four measures, each a percentage, each a dial, each with the sites broken out beneath it. Every one of them is actionable by the person looking at it, and every one is calculated from what the platform already knows rather than from anything anyone has to enter twice.
What you stop doing
- Rebuilding the same Monday labour spreadsheet from seven emails
- Finding out you went over the labour budget after payroll ran
- Guessing which site is quietly typing everyone's clock-ins in later
- Reading a review score in one place and labour cost in another
- Paying extra for the dashboard on top of the platform
What each one measures, and where the line sits
Clock-in accuracy
The share of clock-ins made by staff on the app rather than entered by a manager afterwards.
Salary utilisation
Worked hours against contracted hours for salaried staff, read over the last complete week so a Thursday reading does not mislead.
Reputation
Your average review rating, expressed as a percentage so it sits alongside the other three.
Labour budget
Scheduled labour against the site's weekly budget, in hours or in pounds. Over 100% is over budget.
Beyond the four dials
Site comparison, not just a group average
A group figure hides the site that is causing it, so every dial carries a per-site breakdown beneath it. Where sites budget labour in different units, the organisation figure is the average of the site percentages rather than a meaningless total. Non-admins see the breakdown for their own sites only, which keeps a general manager focused on their venue instead of on the league table. For the financial picture, the Operations Dashboard adds a full site comparison table covering net sales, covers, labour percentage, GP percentage, prime cost percentage, operating margin and checklist completion.
Labour against revenue, and the margin underneath it
The labour budget dial answers the weekly question — are we scheduled over budget — and it is the one measure with a target you set yourself, per organisation or per site, in hours or in pounds. The Operations Dashboard takes it further with a waterfall from net sales down through cost of sales, labour, utilities and overheads to operating margin, over this week, this month, this quarter, last month or a custom range, with the week starting Monday. Where a Toast till is connected, its own dashboard adds site comparison and a card-gap alert on top.
Reports you can send, and reports you can schedule
Daily summaries, weekly compliance reports, temperature logs, checklist completion rates, defect tracking and site comparison all export as PDF, and reports can be sent automatically by email on a schedule so the Monday pack arrives without anyone assembling it. Elsewhere in the platform, exports come out where they are needed rather than through a generic builder: the refusals register produces CSV and PDF, the allergen chart prints per site, and the EHO and HACCP packs come out as a single document.
Numbers that are honest about their own timing
Salary utilisation deliberately reads the last complete week, because a reading taken on a Thursday shows a salaried team at forty-one per cent of their contracted hours and means nothing at all. Clock-in accuracy measures the share of clock-ins made by staff on the app rather than typed in by a manager afterwards, which is the single best signal of whether your attendance data can be trusted before you build payroll on top of it. A metric that flatters you on a Thursday is worse than no metric.
The dials are fed, not filled in
Nobody types a KPI into Zynthio. Each measure is derived from a module already doing its day job.
ZynHR & Rotas
GPS-verified clock in and out feeds clock-in accuracy; the rota and its weekly labour budget feed the labour dial and salary utilisation.
Review Management
Google and TripAdvisor ratings roll into the reputation dial, so guest sentiment sits beside cost rather than in a separate tab.
Checklists & Monitoring
Checklist completion appears in the site comparison table, so operational discipline and operating margin are read side by side.
Pricing. The KPI dashboard and anonymous staff surveys are included in both plans at no extra cost — Core at £59 and Professional at £149 per site per month. Two of the four measures are built from rota and clock-in data, which come with ZynHR on Professional. See the full pricing page.
KPI and reporting questions
What exactly does the KPI dashboard show?
Four measures, each as a percentage, each shown as a dial with a per-site breakdown underneath, over seven, thirty or ninety days: clock-in accuracy, salary utilisation, reputation and labour budget. It is deliberately a small fixed page rather than a report builder, because four numbers a manager actually reads beat forty nobody opens.
Can I set targets?
On the labour budget, yes: per organisation or per site, in hours or in pounds. The other three run on built-in thresholds, which are clock-in accuracy good at 90% and warning at 75%, reputation good at 80% and warning at 60%, and salary utilisation good between 90% and 110%. Those are the bands the dials colour against.
Who can see the numbers?
Org admins and the Zynthio team, plus the assistant manager, head chef, general manager, director, ops manager, area manager and payroll job titles. Anyone who is not an admin sees the per-site breakdown for their own sites only, so a general manager sees their venue rather than the group.
How do I compare sites?
Every KPI dial carries a per-site breakdown beneath it, so you can see which venue is dragging the group figure. For the financial picture, the Operations Dashboard adds a site comparison table covering net sales, covers, labour percentage, GP percentage, prime cost percentage, operating margin and checklist completion, over this week, this month, this quarter, last month or a custom range, with the week starting Monday.
Is it an extra module I have to buy?
No. The KPI dashboard is included in every plan at no extra cost, alongside anonymous staff surveys. Because two of the four measures are built from rota and clock-in data, they fill out once ZynHR is running on your organisation.
